Administrative Manager / Executive Assistant to the CEO

Full-Time, Salaried

The Administrative Manager will own the administrative functions of the organization.  Since we are a startup, the duties of this role will be varied and fast-paced!  Job duties include providing operations support for our Women’s Trades Training Program and our Aging in Place Construction Program, handling day-to-day bookkeeping and financial tasks, communicating with clients and customers, coordinating marketing and communications, assisting with events, supporting the CEO in daily operations, and other tasks as assigned.

The ideal candidate is extremely organized, a great communicator, is self-motivated, loves to take initiative, does not need constant supervision, hates being bored, adapts well to change and thrives in a team.

Responsibilities:

  • Act as administrative assistant to the CEO, assisting with scheduling, planning, reporting, Board meetings, etc.

  • Responsible for day-to-day financial operations, including basic bookkeeping and data entry (Quickbooks Online), bill payments, payroll, invoicing, donation processing, purchasing, etc.

  • Assist in marketing and development, including website and social media updates, newsletter content, drafting communications, event planning and coordination, etc.

  • Assist with HR related tasks, including interview scheduling, onboarding of new employees, etc.

  • Assist with program logistics, including client/customer communications, scheduling, purchasing, etc.

  • Carry out general administrative tasks, such as maintenance of systems and databases, answering phones, filing, mailings, monitoring of Hope Renovations email mailboxes, procurement, etc.

Preferred Qualifications

  • Associates degree (Bachelors or higher preferred)

  • 2+ years of professional administrative/office management experience

  • Technologically proficient and able to quickly learn new technologies

  • Proficiency in Microsoft Office Suite and Adobe Pro

  • Basic bookkeeping/financial experience

  • Familiarity with QuickBooks accounting software

  • Attention to detail and excellent organizational and time management skills

  • Excellent written and verbal communication skills

  • Proficient in social media content creation

  • Ability to take initiative and complete complex tasks with limited supervision

  • Ability to prioritize and handle multiple tasks in a timely manner in a fast paced environment.

  • An “all hands on deck” mentality when it comes to achieving goals as a team

  • A sense of humor!
